One order, from start to finish
JEAR is the seller: it invoices, collects payment and is answerable. The factories produce against our purchase order, which we only place once the buyer has paid its deposit; we consolidate, inspect, ship and handle the documents. This is the path of an order, with the documents that go with it at each step.
1. Your list
We start from your real list: references, quantities and destination port. Before asking for a price we check that the brand can be sold in your country and that we have, in writing from the factory, the certificate your customs requires; if it is missing, that product family is left out of the offer. If it makes sense to change quantities to fill a container or to move down to LCL, we tell you.
2. The factory price
We ask the factory for a price for your exact list and wait for its signed proforma: price, minimum per reference, production lead time and validity. We do not publish prices on the website: every reference is on request, and the price comes in your proforma.
3. Our proforma
With the factory's proforma in hand, we send you ours: factory price, our margin and the control costs (independent inspection and bank charges), all included in the price. It is the contract and always includes:
| Field | What it says |
|---|---|
| Incoterms 2020 | FCA or FOB port of origin, with each origin cost named (transport to the port, export clearance…) and included; or CIF / CFR destination port, with the port written out. Never an "ex works" price without those costs. |
| Origin | Country of manufacture of each line, not a single generic one for the whole order. |
| Freight and insurance | As separate lines, with the insurance rate (110% of the CIF value, ICC (A) clauses). |
| Inspection and bank charges | The independent pre-shipment inspection and the bank charges are included in the price, not as separate lines. |
| Payment | Bank transfer: deposit when the order is confirmed (with it we place the order with the factory) and balance before shipment, against the independent inspection report and photos. The original documents are delivered on full payment. |
| Shipments | Whether partial shipments and transshipment are allowed, and how many shipments are planned. |
| Lead time | Production days from when we receive your deposit, plus the ocean transit. |
| Validity | 14 days, always less than the factory's quotation; after that we ask the factory for a new price. |
| Revision | Every change creates a numbered revision (Rev. 1, Rev. 2); nothing changes unless it is in writing. |
4. Payment: the same schedule as the factory
You pay by bank transfer, on the same schedule as the factory and always a few days before we do. We never pay a factory with money that has not arrived from its buyer.
- Deposit on confirmation. At least the percentage the factory asks for. When it reaches our account we pay the factory's deposit and place the order; not before.
- Balance before shipment. With the independent inspection report and photos in your hands; then we pay the factory's balance.
- Originals on 100%. Original B/L, invoice and certificates (or the telex release) once we have received full payment.
Letter of credit: only if the factory for that order accepts a transferable letter of credit; today none of our factories accepts one.
If you cannot pay in advance, we can work as an agent: the factory invoices you and collects payment directly, and JEAR charges a commission agreed in writing.
5. Production and consolidation
With your deposit in our account, we pay each factory's deposit and place the purchase order, with our references and theirs, quantities in cartons, shipping marks and delivery date at the port or at the forwarder's warehouse. We follow production and, when a factory runs late, the buyer knows before it affects the shipment.
Goods from several factories are consolidated into a full container (FCL), or into LCL (shared container) when the order is under about 15 m³. The load plan is calculated with the real measurements of each carton: how many cartons, in what order, what weight per container. If the buyer asks for it, the load plan comes with the proforma.
6. Inspection and balance
Before loading, an independent company (SGS, Bureau Veritas, Intertek or QIMA) checks the goods at the factory with AQL 2.5/4.0 sampling: quantities, finish, markings and packing. We send you the report and photos; if something fails, the factory fixes it before shipment. Once the report is approved you pay the balance, and only then do we pay the factory's balance and the container is loaded. The cost of the inspection is included in the price.
7. Shipment and documents
For each shipment, a complete set of documents in the name of JEAR TÉCNICA S.A. as exporter:
- Commercial invoice, with the same prices, Incoterm and references as the proforma.
- Packing list per carton: contents, units, net and gross weight, measurements and m³.
- Inspection report with photos.
- Original bill of lading (B/L) or telex release, as soon as we have received 100%.
- Certificate of origin and the certificates of conformity the factory has confirmed to us in writing for your country.
- Insurance policy or certificate when we sell CIF.
We send you a copy of everything on the day of shipment so your customs broker can prepare the clearance; since the balance has already been paid, the originals (or the telex release) go out right away.
8. After delivery
If something arrives damaged, is missing or does not match the order, a claim is opened with photos and quantities; we resolve it with the factory and the insurer, and the buyer deals only with JEAR. Replacements travel with the next shipment or at our expense.
Certificates by country
We do not sell a product family to a country whose customs requires a certificate we do not yet have in writing from the factory: for example INMETRO in Brazil, NOM in Mexico, RETIE and RETILAP in Colombia, SEC in Chile or SABER in Saudi Arabia. In those cases the store tells you before you ask. Where the certificate is obtained per shipment, we confirm it before the proforma.
Languages and hours
We work in Spanish and English. We are in Madrid (Spanish mainland time, CET), which lets us talk on the same day with factories in Asia in the morning and with buyers in the Americas in the afternoon.
